Digital Document Signatures Disadvantages
The use of digital document signatures has significantly eased activities within businesses, schools, and government institutions. It allows employees to easily and quickly create, certify, and send documents to people in different parts of the world. There are many more advantages of using a digital document signature, which include time and financial management. However, a digital document signature still has some disadvantages that make it unsuitable for specific uses. The cons of digital document signatures are discussed below.
Uneven security Options
The level of security on a document that is embedded within a digital signature depends on the type of signature. Also, it depends on the service provider that is offering the digital document signature. A simple electronic or digital signature provides little to no security for sensitive and confidential information. As a result, a user that opts for a low-security signature without knowing its implications can fall victim to the loss of important information. Therefore, a user must know the right type of signature for the sensitivity of the information being conveyed. Additionally, the right service provider should be selected as not all digital document signature providers provide services of quality security.
Storage Options
Not all digital document signature service providers can provide adequate cloud capacity for storage. This inadequacy can be an obstacle for a business that want to manage their documents within a digital space. On the other hand, rather than store files on the cloud, some businesses may want their sensitive documents destroyed immediately after usage. This is sometimes a problem as not all service providers provide the option of permanently deleting documents from their servers.
Compatibility Issues
Many digital document signature service providers use software that does not comply with the standard protocols for the development of online signatures. As a result, this anomaly can create compatibility issues significantly for clients when they attempt to switch from one service provider to another. In some cases, this problem prevents businesses from switching to a better service provider due to the fear of loss of data. Additionally, because of the rapid evolution of technology, an efficient service provider can quickly become inefficient if it is unable to innovate when better tools are created rapidly.
Cost of Access
Although a sender and a receiver can easily send and receive a signed document quickly, this access usually comes at a cost. As a result, both parties involved must purchase appropriate tools before they can send or receive digitally signed documents. Moreover, service providers that offer excellent security options to clients usually charge a premium for their services.
Legal Issues
Although many countries consider documents that are digitally signed as legal, there are still countries where the law does not accept the use of such types of signatures. Therefore, a business must be informed about the legal status of digital signatures for each country, especially if it is involved in international transactions so as not to create legal issues.
